Tax Office Support Specialist

Olsen Thielen & Co., Ltd. is a well-established local CPA firm with a rich history of over 100 years. We are currently in search of a dedicated and skilled Administrative Support Specialist to enhance our tax services team. This full-time position offers an opportunity to work in a collaborative environment where your contributions will be valued.
The successful candidate will engage in various administrative tasks to support our tax department, ensuring that client needs are met efficiently. This role is primarily office-based, with some potential for remote work flexibility.

Key Responsibilities:
- Compile and finalize personal and business tax returns for distribution
- Prepare and electronically file tax extensions
- Maintain and manage client databases and workflow systems
- Address client inquiries on behalf of tax teams to facilitate workflow
- Organize and digitize client documentation
- Monitor and manage tax e-filing deadlines
- Handle tax form processing in a timely manner
- Perform photocopying, scanning, and filing tasks
- Keep accurate client logs
- Manage incoming and outgoing correspondence
- Coordinate client appointments
- Assist with additional administrative tasks as required
- Demonstrate resourcefulness and prioritize tasks effectively
- Adapt to time-sensitive projects and meet specific deadlines
- Exhibit strong communication skills and effective interpersonal relations
- Drive improvements and efficiencies within the team
- Manage workflow tasks and expand responsibilities with experience
- Utilize technology proficiently and adapt to new software
- Support all administrative functions within the office
- Create professional documents for internal and client-facing purposes
- Implement office processes and procedures under supervision
- Participate in team efforts to serve clients effectively
- Provide support to fellow Administrative Specialists during absences
- Proficient in Microsoft Windows and Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
- Familiarity with Adobe and other relevant software
- Experience with CCH Access and Sureprep is a plus
- At least one year of relevant administrative support experience in a CPA firm is preferred
- A high school diploma or equivalent is required
- An associate degree is preferred
- Detail-oriented with strong writing capabilities
- Organized with the ability to prioritize and manage multiple tasks
- Excellent decision-making and problem-solving abilities
- Effective communication skills, both written and verbal
- A collaborative team player with flexibility to adapt to changing priorities
