Job Description

PotomacWave is seeking an experienced Executive Assistant to provide high-level administrative support to our team in Washington, DC. As a key member of our team, you will serve as a secretary and personal/confidential assistant to Executive leadership, assisting with office management and performing secretarial and administrative duties.

Key Responsibilities:
  • Provide administrative support to Executive leadership, including maintaining office file systems, updating Excel spreadsheet data, and preparing correspondence.
  • Answer and refer calls, provide security escort duties in secure facilities, and enter information into office databases.
  • Assist with office management, including recommending changes in administrative policies and devising office procedures and practices.
  • Respond to inquiries and administrative problems brought to the Executive and Senior Staff by members of the staff.
  • Perform research and technical assessments of managerial and organizational problems and offer resolutions.
  • Maintain calendars for the Executive and Senior Staff, schedule appointments and conferences, and advise attendees when appointments must be rescheduled.
  • Receive all correspondence for the Executive, reply to mail not requiring the Executive's attention, and forward other items to staff as appropriate.
  • Arrange conferences and all-hands meetings for the Executive, including preparing agendas and notifying participants.
  • Respond to requests of tier-one level offices and serve as the main point of contact for administrative personnel.
  • Produce written documents, including correspondence, program plans, and reports, utilizing personal computer and automation software.
  • Make travel arrangements for the Executive and staff, including developing itineraries and submitting travel vouchers.
Qualifications:
  • Knowledge of administrative concepts and practices, including internal procedures, administrative controls, and reporting systems.
  • Experience using standard office product software, including Access, Outlook, Word, Excel, and PowerPoint.
  • Ability to develop material for public speaking engagements and schedule commitments and prepare materials for conferences and Congressional testimony.
  • Experience working in a secure, government environment and communicating effectively with management and staff at all levels.
  • Ability to perform multiple tasks simultaneously and produce a wide range of reports, graphs, charts, and documents.
  • Active TS clearance and Associates Degree required, Bachelor's Degree preferred.
