Role Overview

  • This role necessitates a meticulous individual capable of working autonomously, creatively, and effectively in a fast-paced setting, managing multiple tasks and adhering to various deadlines. The ability to analyze and investigate system data to extract relevant information is essential. This position supports the Regional Sales and/or Parts & Service Managers through various administrative functions.
Key Responsibilities
  • Conduct analysis of departmental data, including daily sales reports using Excel and SAP & CAARs. Prepare and disseminate structured reports as directed by management, including daily, weekly, and monthly sales summaries.
  • Assist regional management and personnel with expense report processing and travel arrangements.
  • Proactively oversee and evaluate regional budget expenditures, aiding management with accruals and budget timelines.
  • Facilitate the delivery of essential regional reports to District Sales Managers (DSMs) and/or District Parts & Service Managers (DPSMs).
  • Monitor the submission of field contact reports in accordance with company guidelines, ensuring timely distribution to relevant staff managers for review and action, while verifying all weekly itineraries against the contact report log.
  • Develop and distribute regional communications to the dealer network, including monthly objective letters and regional newsletters.
  • Generate and circulate reports as assigned by management, such as sales month-end reports, weekly sales forecasts, weekend business summaries, Co-op recaps, and MSP spending reports.
  • Create and present various presentations as required by management.
  • Manage incoming and outgoing communications, including phone calls, mail, and special deliveries for Regional Management.
  • Process and track all regional program-related invoices, expenses, and purchase requests via JDEdwards.
  • Maintain and update all Outlook contact dealer email groups.
  • Disseminate sales and service information via email/mail to DSMs/DPSMs and dealers.
Continued Responsibilities
  • Maintain all regional sales and/or service documentation.
  • Coordinate communication between Regional Management and the DSM/DPSM field team.
  • Assist dealers in resolving inquiries related to accounts receivable, accounts payable, or other issues between Hyundai Motor America and dealers.
  • Support office staff with all incoming and outgoing mail and FedEx deliveries, including weekly mailings to DSMs or DPSMs.
  • Organize, structure, and monitor all regional dealer contests, providing daily updates to regional management and the dealer network. The ability to discuss these results and explain them to dealership personnel is crucial.
  • Take an active role in mentoring and training department specialists and junior staff.
  • Perform miscellaneous administrative duties as assigned by the Regional Sales Manager and General Manager.
Authority
  • Act as a gatekeeper for dealer requests regarding incentive adjustments, STAR Program modifications, etc.
Education Requirements

~ Bachelor's degree preferred

Experience
  • Two to four years of experience in an administrative role.
Skills and Knowledge
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Ability to identify needs and prioritize tasks effectively.
  • Familiarity with automotive dealer terminology.
  • Understanding of regional automobile operations is desirable.
  • Working knowledge of AS400/SQL systems, SAP & CAARS.
  • Ability to collaborate with diverse personalities.
  • Strong oral and written communication skills.
  • Excellent organizational and follow-up abilities.
