Administrative Coordinator

Scope of Role:
The Administrative Assistant will serve as the primary point of contact for our program, providing exceptional support to program participants and internal stakeholders. This role requires a high level of discretion, integrity, and attention to detail in handling sensitive information and performing various administrative tasks.
Essential Duties & Responsibilities:- Provide administrative support, including but not limited to, photocopying, faxing, mailing, filing, and arranging for deliveries.
- Exercise discretion in handling sensitive information, adhering to HIPAA and agency guidelines.
- Handle internal and external communications, utilizing phone, email, and written correspondence.
- Manage the phone system, handling multiple lines and ensuring timely responses to calls and messages.
- Coordinate with internal and external stakeholders, including staff, clients, visitors, and vendors.
- Arrange and schedule office calendars, ensuring seamless coordination of meetings and events.
- Prepare and edit communications, presentations, and other documents, maintaining a high level of accuracy and attention to detail.
- Manage databases, including data entry into Excel and Electronic Health Records (EHR) systems.
- File and retrieve documents and reference materials, maintaining a well-organized and efficient filing system.
- Provide timely, accurate, and clear documentation, adhering to established policies and procedures.
- Respond to consumer needs promptly, accurately, and with courtesy and respect.
- Represent the organization in a positive and professional manner to outside resources.
- Support the mission and values of Services for the UnderServed, drawing attention to behavior that undermines group effectiveness or is inconsistent with core values.
- Perform additional duties as assigned.
- High School Diploma or equivalent required.
- A minimum of one year of experience in an administrative setting.
- Some knowledge or experience working in the social service or related field is preferred.
- Computer literate in Microsoft suite, with skills in Word, Excel, and Outlook.
Preferred Qualifications & Skills:
- College or continuing education preferred.
- Bilingual English/Spanish speaking preferred.
