Interim Human Resources Specialist

As part of the Human Resources team, the HR Specialist plays a crucial role in supporting various HR functions including Recruitment, Employee Engagement, Benefits Administration, Onboarding, and Compliance with Federal, State, and Local regulations.
Key Responsibilities:
1. Manage new hire documentation and maintain accurate records, including I-9s, W-2s, and other essential documents.
2. Prepare and track HR documentation to ensure compliance with regulations.
3. Utilize the HRIS to enter and maintain employee data and records efficiently.
4. Generate reports and analyze data as requested by HR Management, including training audits and payroll reports.
5. Coordinate and schedule interviews effectively.
- Assist in the recruitment and onboarding process, including credential verification and reference checks.
8. Notify Department Directors regarding performance reviews and assist in preparing review documentation.
9. Support the enrollment and changes in employee benefits plans.
10. Assist with COBRA administration and related documentation.
11. Organize employee events such as benefits fairs and recognition activities.
12. Maintain confidentiality and protect sensitive employee information.
13. Assist with special projects and assignments as needed.
14. Participate in events that promote the organization and its initiatives.
15. Build applicant sources by engaging with professional organizations and educational institutions.
16. Review applications to ensure candidates meet minimum qualifications.
17. Post job announcements and maintain recruitment files, including EEO and Affirmative Action data.
18. Update and maintain vehicle DMV and insurance information annually.
19. Prepare employee files for audits, ensuring all documentation is complete and accurate.
20. Ensure timely and accurate filing of documents.
21. Serve as a backup for the Receptionist as needed.
22. Perform other duties as assigned.
Required Knowledge, Skills, and Abilities:
• Excellent verbal and written communication skills.
• Proficient in computer usage, with a typing speed of at least 60 WPM.
• Basic understanding of HR principles, including benefits administration and recruitment processes.
• Strong organizational skills and ability to meet deadlines.
• Public speaking skills are advantageous for presenting information to employees and candidates.
• Familiarity with the organization's hiring policies is essential.
• Ability to maintain professionalism and confidentiality in all interactions.
Position Requirements:
To excel in this role, candidates must meet the following qualifications:
• A minimum of three years of experience in an HR Assistant role or higher is preferred.
• Experience in the healthcare sector is advantageous.
• Proficiency in HRIS systems is required.
• Competence in Microsoft Office Suite (Outlook, Word, Excel) is necessary.
Work Environment:
The work environment is primarily an indoor office setting with moderate noise levels.
Physical Demands:
Occasional bending, stooping, or lifting of up to 10 pounds may be required. Regular use of hands for typing and handling documents is necessary, along with the ability to sit for extended periods.
