Office Manager for Outpatient Services
The Office Manager plays a crucial role in coordinating and streamlining service delivery within the outpatient program. This position is responsible for upholding professional standards and developing as well as enforcing policies and procedures. The Office Manager will also oversee the administrative supervision of program personnel, ensuring adherence to established guidelines and timely documentation of care.
Key Responsibilities:
- Develop and manage the quality assurance program for outpatient services.
- Evaluate and enhance the quality of services rendered.
- Ensure the accuracy and completeness of documentation.
- Monitor facility compliance and provide reports during monthly and quarterly QAPI meetings.
- Supervise medical records compliance and report findings in QAPI meetings.
- Participate in monthly and quarterly QAPI meetings.
- Engage in Flash meetings and Staffing meetings, drafting action plans and ensuring their implementation.
- Oversee staff compliance with medical records documentation, creating and executing action plans as necessary.
- Assist in implementing the Utilization Review program at the outpatient facility, which includes:
- Reviewing adult psychiatric service patient records against established medical eligibility criteria.
- Conducting continued stay reviews based on patient diagnoses and established criteria.
- Performing authorization and certification reviews, submitting requests to insurance providers for inpatient mental health services.
- Executing concurrent reviews to secure approval for necessary treatments or services, ensuring timely and cost-effective patient care.
- Submitting retrospective review appeals to insurance companies regarding denials when applicable.
- Maintaining a record of noncompliance issues for further coordination with professional staff during daily meetings.
- Collecting and compiling statistical data related to reviews.
- Reviewing intake packets for criteria and updating logs.
- Creating new medical record folders and verifying patient information.
- Updating the electronic master patient index as patients are admitted and discharged.
- Locating and managing medical records for patients returning to inpatient care.
- Ensuring verification of record receipt.
- Retrieving records of discharged patients and returning them for processing.
- Locating medical records for various reviews and studies.
- Maintaining inventory of medical records supplies.
- Keeping the Master Forms Binder updated.
- Reviewing closed medical records for discrepancies and ensuring corrections are made, maintaining an accurate log of incomplete charts.
- Assigning appropriate diagnostic codes using CPT and ICD-10 systems.
- Requesting missing diagnoses from physicians when necessary.
Qualifications:
A Bachelor's degree or equivalent from an accredited institution is required, along with a minimum of two years of experience in Office Management or Medical Records within the healthcare sector.
