Position Overview

The Senior Executive Assistant will oversee administrative operations, facilitate company events and meetings, and address general inquiries from Care Logistics associates. This role will serve as the primary support for the Senior Management Team (SMT). The office administrator is expected to foster a positive work atmosphere while ensuring high standards of organizational efficiency, communication, and safety for the office and its associates, all while maintaining a supportive and friendly demeanor.

This position is fully ONSITE, not hybrid or remote.

KEY RESPONSIBILITIES

Administrative Support for Senior Management Team (SMT) includes:

  • Maintaining the annual meeting schedule
  • Creating and distributing agendas
  • Tracking and following up on SMT action items
  • Documenting minutes from SMT meetings
  • Leading administrative efforts for Annual Strategy Planning and compiling necessary materials
  • Overseeing Policy and Procedure documentation
  • Managing administrative access for company applications
  • Supporting the annual Service Organization Control Type 2 (SOC2) audit
  • Acting as the point of contact for internal associates regarding general inquiries, supplies, equipment, and corporate contracts/leases
  • Managing document retention practices, including shredding or scanning old files
  • Training new hires on essential software and company resources
  • Coordinating office relocations and conference space as needed
  • Registering business visitors requiring access to the campus

Acting as a liaison between Care Logistics and Jackson Healthcare involves:

  • Collaborating with the technology group to assist with IT issues and equipment upgrades
  • Supporting Human Resources with onboarding and training resources
  • Coordinating events and communications for community initiatives
  • Facilitating campus events for associate engagement
  • Assisting with office space and equipment needs
  • Providing support for financial inquiries
  • Managing invoice entries for charitable contributions and vendor services
  • Overseeing document storage and approval processes
  • Planning and organizing various meetings and associate events throughout the year
  • Coordinating the distribution of corporate tickets
  • Managing office supply inventory and ordering
  • Handling mailing tasks, excluding marketing collateral shipments
  • Partnering with HR on emergency protocols and safety measures
  • Tracking and ordering awards and gifts for associates
  • Scheduling meetings for the President and complex company meetings
  • Assisting with travel arrangements for the President as needed
  • Maintaining a supportive attitude and a willingness to assist
  • Supporting Client Development and Engagement Administrators with various tasks
  • Performing additional duties as required.

QUALIFICATIONS – EDUCATION, EXPERIENCE, AND SKILLS

  • Bachelor's degree preferred.
  • 3+ years of experience as an Office Manager, Administrative Assistant, or Executive Assistant.
  • Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, etc.)
  • Stable employment history with verifiable references.
