About the Position

We are seeking a highly skilled Events and Marketing Coordinator to join our team at College of the Canyons Foundation. As a key member of our team, you will be responsible for coordinating all aspects of Foundation special events, administrative, clerical, and specialized office support functions, as well as advancing fundraising initiatives and projects.

Key Responsibilities
  • Coordinate, execute, and evaluate all aspects of the Foundation's special events and meetings.
  • Reserve event venues, rentals, and lead planning efforts for Foundation events.
  • Establish contracts with the assistance of Business Services for all event vendors.
  • Coordinate event hospitality, seating charts, and arrangements, special requests, and accommodations.
  • Collaborate with event committees, create timelines, and programs, ensuring all deliverables are accomplished in a timely manner.
  • Assist with Foundation board meeting support, including agendas, minutes, and other coordination.
  • Coordinate content for event and general Foundation marketing materials.
  • Arrange the marketing of events through the campus calendar, email, social media, and other marketing venues.
  • Coordinate the submission and creation of all design and print material requests from PIO and Reprographics.
  • Oversee the Foundation's Social Media channels.
  • Recommend and implement techniques and practices to improve events to the Foundation team.
  • Perform routine administrative tasks, including maintaining event calendars, schedules, and appointments, picking up and distributing mail, processing event purchase requisitions, answering and redirecting inquiries, and tracking and maintaining confidential files and records.
  • Ensure the events are coordinated with the President's office and submit speech requests.
  • Participate on college and community committees, attend special meetings, conferences, and luncheons as directed.
  • Monitor event budgets, credit card expenses, and other financial items under supervision of the Foundation Administration.
  • Assist with the maintenance and coordination of departmental event annual budgets to ensure that expenditures do not exceed the established budget.
  • Coordinate event-related purchases, such as food and beverages, cutlery, decorations, alcohol, and other supplies as needed.
  • Coordinate the set-up and clean-up of all department events, in coordination with campus Facilities/Civic Center.
  • Perform data input and data retrieval for all relevant department functions, reports, contact spreadsheets, email distribution lists, and managing RSVP lists.
  • Create, maintain, and monitor online event registration web pages in Raiser's Edge and NXT database.
  • Maintain all event registrants, ensuring registration fees, meal choices, ads, etc. are accurately tracked.
  • Run reports and export data lists for events, such as sponsor lists, event attendees, and participation.
Requirements
  • Three (3) years of experience in a clerical position as an event coordinator with experience in aspects of event coordination, an in-depth knowledge of marketing and organizing fundraising activities and events or similar.
  • Proficient in MS Word, Excel, Outlook in a Windows environment; experience in administrative software system, accounting, record keeping, and outreach activities.
  • Experience in marketing, online communications, and website management with knowledge of, and demonstrated effectiveness in proven methods of promoting events, and public relations as well as an ability to coordinate large group activities.
  • Education equivalent to an Associate's degree (60 semester units) from an accredited college or university is required.
  • Two additional years of related experience in addition to that identified above may be substituted for each year (30 units of education requirement).
