Job Overview

Position Summary: The Events Support Specialist plays a crucial role in assisting the Events Manager with daily operational tasks, primarily focused on organizing and supplying necessary materials for various events such as training sessions, trade shows, seminars, and workshops.

Key Responsibilities:

  • Assist in the planning, execution, and dismantling of events.
  • Manage attendee registration, guest lists, and distribution of event materials.
  • Provide on-site assistance to ensure seamless event operations and troubleshoot any arising issues.
  • Handle event-related communications, including responding to inquiries and sending confirmations.
  • Maintain detailed records of event budgets, invoices, and expenditures.
  • Compile post-event reports and aid in assessing the effectiveness of events.
  • Assist with the logistics of shipping and receiving workshop materials.
  • Oversee requests from internal communication platforms.
  • Coordinate material availability with Regional Sales Managers, Distributors, and Sales Representatives.
  • Prepare facilities for specialized labs.
  • Perform additional duties as assigned.

Qualifications:

  • A Bachelor's degree in Event Management, Hospitality, Marketing, or a related discipline is preferred.
  • 1-2 years of prior experience in event coordination or a similar field is advantageous.
  • Exceptional organizational abilities and meticulous attention to detail.
  • Strong communication and interpersonal skills.
  • Capability to thrive under pressure and juggle multiple tasks concurrently.
  • Proficiency in Microsoft Office Suite.
  • Willingness to work flexible hours, including evenings and weekends, as dictated by event schedules.
  • Experience with QuickBooks is a plus.

Working Environment:

  • This position is based in an open office setting.
  • Some travel may be necessary.
  • Physical demands include lifting and transporting event materials and equipment.
  • Occasional evening and weekend work may be required based on event schedules.
  • Involves working with cadaver materials.

Physical Requirements:

  • Ability to lift heavy items, with a maximum weight of up to 50 lbs.
  • Capability to stand for extended periods.
