Job Overview

Position Summary: The Events Support Specialist plays a crucial role in assisting the Events Manager with daily operations, focusing on the organization and provision of essential materials for various events such as trainings, tradeshows, seminars, and labs. This position encompasses administrative responsibilities and the management of product logistics.

Key Responsibilities

The primary duties include, but are not limited to:

  • Facilitating the setup, execution, and dismantling of events.
  • Coordinating attendee registration, managing guest lists, and overseeing the distribution of event materials.
  • Providing on-site assistance to ensure seamless event operations and addressing any arising issues.
  • Managing event-related communications, including responding to inquiries and sending confirmations.
  • Maintaining precise records of event budgets, invoices, and expenditures.
  • Preparing post-event evaluations and assisting in assessing the overall success of events.
  • Handling the logistics of shipping and receiving workshop products.
  • Managing requests received through internal communication channels.
  • Coordinating material availability with Regional Sales Managers, Distributors, and Sales Representatives.
  • Setting up for specialized labs within the office.
  • Performing additional duties as assigned.
Qualifications
  • A Bachelor's degree in Event Management, Hospitality, Marketing, or a related discipline is preferred.
  • Prior experience (1-2 years) in event coordination or a similar field is advantageous.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong communication and interpersonal abilities.
  • Capability to thrive under pressure and manage multiple responsibilities concurrently.
  • Proficiency in Microsoft Office Suite.
  • Willingness to work irregular hours, including evenings and weekends, as dictated by event schedules.
  • Experience with QuickBooks is a plus.
Working Environment
  • This position operates within an open office setting.
  • Some travel may be necessary.
  • The role may involve lifting and transporting event materials and equipment.
  • Occasional evening and weekend work may be required based on event schedules.
  • Engagement with cadaver materials may be part of the responsibilities.
Physical Requirements
  • Ability to lift heavy items, with a capacity to lift up to 50 lbs.
  • Capability to stand for extended periods.
