Job Overview

Position Summary:

Under the supervision of the Accounting Director, the Accounting Clerk plays a crucial role in supporting the accounting team by executing various clerical tasks. These include data entry into financial systems, transaction processing, report preparation, and communication management with clients and vendors. The role also involves fact-checking, filing, and other essential duties as required.

Key Responsibilities:

  • Assist in maintaining and updating spreadsheets and reports within the accounting system, aiding in account balancing and reconciliation.
  • Review and verify invoices and billing statements, ensuring accurate fund allocation prior to processing payments and following up on overdue accounts.
  • Analyze and reconcile financial documents, investigating discrepancies and implementing corrective actions to ensure account accuracy.
  • Organize and file all accounts payable and receivable documentation, ensuring proper record-keeping.
  • Efficiently post end-of-month journal entries and monthly accruals.
  • Conduct research on accounts as necessary, including downloading and distributing monthly credit card statements for coding.
  • Confirm payroll modifications for new hires and collaborate with the People & Culture department for onboarding and terminations.
  • Uphold financial security by adhering to internal accounting controls.
  • Verify and maintain current insurance certificates for external vendors.
  • Support special projects within the Accounting Department as needed.
  • Perform various recordkeeping, reporting, and related tasks as assigned.
  • Maintain and update data, lists, and reports regularly.
  • Serve as backup for telephone duties as required.
  • Act as a backup for the Accounting Specialist when necessary.

Qualifications:

  • High school diploma, GED, or equivalent experience.

Additional Requirements:

  • Two to three years of experience in data entry or accounting within a professional setting.
  • Strong commitment to the organization's mission and values.
  • Proficient in Windows environment, particularly in Word, Excel, and ADP.
  • Highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.
  • Excellent interpersonal and communication skills.
  • Consistent attendance and ability to meet deadlines.
  • Strong written and verbal communication abilities.
  • Commitment to maintaining confidentiality of sensitive information.
  • Must pass a drug screening and background check.
  • Eligibility to work in the United States.
