POSITION SUMMARY

The Administrative Assistant, HR performs a variety of administrative activities to support the Human Resources' Talent Team at Simons Foundation.

This role offers an opportunity to learn about, and become involved in, a variety of human resources, talent and development processes and initiatives.

This is a full-time position located onsite in our New York City office.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

  • Maintain recruitment processes for the talent team, including scheduling and communicating with internal teams as well as external candidates.
  • Organize hire and onboarding details for all new employees.
  • Monitor the talent team general email inbox.
  • Administer learning and development logistics, such as scheduling sessions, reserving conference rooms and sending out calendar invitations.
  • Facilitate new hire orientation for interns and temporary employees.
  • Schedule team and department meetings, prepare agendas and take meeting notes when needed. Schedule and organize team building activities.
  • Manage team documentation and presentation materials, including job descriptions and process guidelines, and organize shared drives.
  • Run reports on talent and other HR data, organize data, and provide first level analysis. Prepare quarterly talent metrics.
  • Assist with other talent and learning and development related special projects and reports on an ongoing or ad-hoc basis.

MINIMUM QUALIFICATIONS

  • Bachelor's degree is preferred.
  • At least 1-2 years of previous experience in administrative roles, preferably in HR or a related discipline.
