Position Overview

(Full Time, Hybrid) The Client Relations Specialist is tasked with executing essential clerical and administrative functions to ensure the smooth and effective operation of the department. Responsibilities include managing team communications, processing daily correspondence, and addressing all incoming requests and legal documents for various facilities. A Notary certification is required for this role.

**Notary Certification Required**

Key Responsibilities

  1. Notarize and return all documents to relevant agencies following managerial approval
  2. Print and organize daily correspondence for the collections and customer service teams
  3. Process returned mail for all facilities and update patient account addresses as necessary
  4. Generate return address labels for facilities as required
  5. Handle incoming medical records requests and facilitate their delivery to facilities
  6. Process itemized billing requests from patients and attorneys, ensuring timely notarization and return
  7. Manage shared customer service email for faxed requests and distribute accordingly
  8. Address patient concerns via shared email and ensure proper distribution to team members
  9. Receive and forward affidavits from various agencies for facility approval, including printing itemized bills for managerial review
  10. Conduct research on itemized statement requests from secondary agencies
  11. Process bad debt disputes from secondary agencies efficiently
  12. Handle missing payment requests through shared email and initiate research requests
  13. Sort and scan daily correspondence, ensuring proper filing in the shared drive
  14. Additional duties may be assigned as necessary
Qualifications
  • Exceptional organizational skills
  • Understanding of basic legal documentation
  • Proficient in Word and Excel applications
  • Basic computer navigation skills
Education and Experience
  • High School diploma or equivalent
  • Commissioned Notary status required
  • Ability to comprehend and interpret Explanation of Benefits (EOBs)
