Executive Administration Assistant

Job Summary:
The Executive Administration role is a dynamic position that requires a highly organized and detail-oriented individual to manage the day-to-day front office operations. This includes reception duties, administrative tasks, and facilities management.
Responsibilities:
- Manage the front office, ensuring a clean and organized environment for clients and staff.
- Receive and greet clients, guests, and visitors, ensuring a professional and welcoming atmosphere.
- Coordinate shipping and receiving, including managing printing requests and ordering administrative supplies.
- Perform mailroom functions, including managing mail and packages, and ensuring timely delivery.
- Maintain conference room reservations and ensure rooms are cleaned and ready for meetings.
- Order and manage supplies, including pantries, copiers, and office equipment.
- Assist with annual budgeting and vendor management.
- Prepare and assist with daily and monthly reports.
- Perform other administrative duties as assigned by the Office Administrator or Supervisor.
Requirements:
- Associate degree preferred.
- 2-4 years of experience in reception or administrative functions in a medium-sized facility (50-100 associates).
- Excellent English communication skills (written and verbal).
- Good computer skills, including Microsoft Office (Word, Excel, PowerPoint, etc.).
- Knowledge of office management and basic purchase procurement processes.
- Team player with good interpersonal skills and ability to work in a diverse multicultural environment.
- Good organizational and planning skills, analytical and problem-solving skills, and quick decision-making capability.
- Proactive, self-motivated, adaptive, professional, and able to multitask.
