We are seeking a skilled and proactive Executive Administrative Coordinator to enhance our team at 40HRS, Inc.. This pivotal role involves delivering comprehensive administrative assistance to our Chief of Staff. Precision and meticulousness are essential, as this position requires full-time, on-site engagement.


Your Key Responsibilities:


  • Oversee and manage executive schedules, including arranging meetings, appointments, and travel logistics.
  • Facilitate and organize both internal and external meetings, conferences, and events.
  • Draft and disseminate correspondence, reports, and presentations as necessary.
  • Maintain customer and prospect databases, ensuring data accuracy and reliability.
  • Collaborate with sales and marketing teams to coordinate events, conferences, and promotional initiatives.
  • Compile, review, and submit assigned expense reports efficiently.
  • Assist in facilities management tasks as required.
  • Provide support to the Operations department on an as-needed basis, including acting as a backup shipper.
  • Manage the upkeep and operations of our Professional Education Labs, including overseeing surgeon travel, lab inventory, and setup.
  • Support the office environment by maintaining supplies, managing mail distribution, welcoming visitors, and performing other essential administrative duties.
  • Uphold confidentiality and manage sensitive information with the utmost discretion.
  • Assist with special projects and initiatives as assigned.
  • Perform additional duties as required.
