Position Overview and Responsibilities The Administrative Coordinator plays a vital role in providing operational and administrative assistance to various program offices, including Case Management, Advocacy, Resources, and Education (CARE), Health Promotion and Education (HPE), and Support, Advocacy, and Violence Prevention (SAVP). These offices collaborate effectively to promote students' mental, physical, and social well-being while delivering health education and violence prevention initiatives on campus. This role is essential for addressing the operational requirements of these three offices, encompassing scheduling, procurement, and other administrative tasks.

Key Responsibilities:
  • Offer students general information and appropriate referrals regarding the CARE, HPE, and SAVP offices.
  • Execute tasks with the discretion and confidentiality required by state laws and institutional policies.
  • Provide logistical and scheduling assistance for various student programs, committee meetings, and other administrative gatherings.
  • Foster communication and maintain relationships with both on-campus and off-campus partners.
  • Schedule appointments, disseminate departmental communications, and prepare necessary informational documents.
  • Manage student record databases such as Maxient and Titanium.
  • Assist with semester projects and on-call schedules, including reentry and sober host training.
  • Oversee purchasing and monitor expenses across all departmental budgets, maintaining accurate departmental records and completing expense reconciliations.
  • Communicate effectively with multiple departments and relay information from administrators as directed.
Qualifications
  • A minimum of three to five years of progressively responsible experience in administrative support.
  • Proficiency in computer skills, particularly with the Google Apps suite (Drive, Docs, Mail, Calendars, Sheets) and the Microsoft Office suite (especially Word and Excel).
  • Strong organizational and time management skills, with keen attention to detail and the ability to exercise independent judgment with minimal supervision.
  • Proven ability to communicate effectively with diverse groups and competence in both oral and written communication.
  • Tact, diplomacy, and the capacity to maintain confidentiality.
  • Exceptional organizational skills, including the ability to manage deadlines and multiple competing priorities.
  • Understanding of the layered and intersectional needs of students seeking support.
  • Ability to work independently as well as collaboratively within a team.
  • An Associate's degree is preferred.
