Position Overview and Responsibilities The Office Administrator plays a vital role in providing administrative and operational assistance across several program offices, including Case Management, Advocacy, Resources, and Education (CARE), Health Promotion and Education (HPE), and Support, Advocacy, and Violence Prevention (SAVP). These departments collaborate effectively to promote students' mental, physical, and social well-being while delivering health education and violence prevention initiatives on campus. This role is essential for addressing the operational requirements of these three offices, encompassing scheduling, procurement, and various administrative tasks.

Key Responsibilities:
  • Offer general information and appropriate referrals to students regarding the CARE, HPE, and SAVP offices.
  • Execute tasks with discretion, judgment, and confidentiality in alignment with state regulations and campus protocols.
  • Provide logistical and scheduling assistance for student programs, committee meetings, and other administrative gatherings.
  • Facilitate communication and nurture relationships with both on-campus and off-campus partners.
  • Organize appointments, disseminate departmental communications, and prepare necessary informational documents.
  • Maintain student record databases, including Maxient and Titanium.
  • Assist with semester projects and on-call schedules, including reentry and sober host training sessions.
  • Manage purchasing and monitor expenditures across departmental budgets, ensuring accurate record-keeping and expense reconciliations.
  • Communicate effectively with various departments and relay information from administrators as required.
Qualifications
  • Three to five years of progressively responsible experience in administrative support.
  • Proficient computer skills, particularly with the Google Apps suite (Drive, Docs, Mail, Calendars, Sheets) and Microsoft Office suite (especially Word and Excel).
  • Strong organizational and time management abilities, with keen attention to detail and the capacity to exercise independent judgment with minimal supervision.
  • Proven ability to communicate effectively with diverse groups and competence in both oral and written communication.
  • Exhibit tact, diplomacy, and the ability to maintain confidentiality.
  • Demonstrated organizational skills, including the capability to manage deadlines and multiple competing priorities.
  • Understanding of the layered and intersectional needs of students seeking support.
  • Ability to work independently as well as collaboratively within a team environment.
  • Associate's degree preferred.
