Client Services Coordinator: Veterinary Front Desk
Client Care - Full Time
The Client Services Coordinator is responsible for delivering outstanding service to all clients, managing clerical and record-keeping tasks related to animal patient care and treatment, and supporting various medical departments and personnel.
Schedule: This position requires flexibility as the hospital operates 24/7. Employees must be available to work at least one weekend shift and may be asked to work on holidays.
Compensation: The salary for this role is commensurate with education and experience, starting at $16.50 per hour.
Key Responsibilities:
- Prepare for client appointments by reviewing medical records, retrieving necessary documents, and organizing required forms prior to client arrival.
- Complete and verify necessary forms, ensuring compliance with Ethos standards and legal regulations.
- Welcome clients and their pets to the facility, ensuring their comfort during their visit, including greeting them and providing refreshments.
- Educate clients about available hospital services, products, and practices.
- Assist clients with non-medical inquiries, appointment scheduling, and billing processes.
- Accurately enter client and patient information into the hospital's information system, ensuring alignment with treatment estimates and charge sheets.
- Facilitate the admission and discharge of pets for appointments and services, scheduling follow-up visits as required.
- Collect and process payments from clients accurately.
- Explain various payment options available to clients, including credit lines and billing plans.
- Manage pet insurance claims from initiation through to completion.
- Maintain cleanliness and organization in public areas of the hospital, including the front desk, reception area, and waiting rooms.
Education, Licenses, and Job Requirements:
- A high school diploma or equivalent experience is required; an Associate's or Bachelor's degree is preferred.
- Ability to stand for extended periods and perform physical tasks such as lifting and carrying up to 50 pounds.
Skills and Experience:
- Minimum of 1 year of customer service experience.
- Demonstrated ability to multitask and prioritize effectively.
- Exceptional organizational capabilities.
- Ability to remain calm and efficient in high-pressure situations.
- Strong active listening and customer service skills, with a focus on resolving client issues with professionalism.
- Facilitate effective communication among client service staff, veterinarians, and technical personnel.
- Excellent written and verbal communication skills, with a keen awareness of non-verbal cues.
- Strong problem-solving abilities and the capacity to recognize changes in circumstances to ensure client satisfaction.
- Proficient in computer use, including Microsoft Office, credit card processing, multi-line phone systems, and other office equipment.
