Client Services Coordinator: Front Desk

Client Care - Full Time

The Client Services Coordinator is responsible for delivering outstanding service to all clients, handling administrative and record-keeping tasks related to animal patient care and treatment, and supporting various medical departments and personnel.

Schedule: Our facility operates 24/7 throughout the year. All positions require a commitment to work at least one weekend shift and some holidays.

Compensation: Salary is based on combined education and experience, starting at $16.50 per hour.

Key Responsibilities:

  • Prepares for client appointments by reviewing medical records, retrieving necessary documents, and preparing required forms ahead of client arrival.
  • Completes and verifies all necessary forms, ensuring compliance with Ethos standards and legal regulations.
  • Welcomes clients and their pets, ensuring their comfort during their visit, including greeting them, offering refreshments, and guiding them to the waiting area.
  • Educates clients about hospital services, products, and procedures.
  • Assists clients with non-medical inquiries, appointment scheduling, and billing questions.
  • Accurately enters client and patient information into the hospital information system, ensuring consistency with estimates and treatment documentation.
  • Manages the admission and discharge process for pets, scheduling follow-up appointments as necessary.
  • Handles payment processing from clients with accuracy.
  • Explains various payment options available to clients, including credit lines and billing plans.
  • Oversees pet insurance claims from initiation to completion.
  • Maintains cleanliness and organization of public areas within the hospital, including the front desk, reception area, and waiting rooms.

Education, Licenses, and Job Requirements:

  • High school diploma or equivalent experience is required; an Associate's or Bachelor's degree is preferred.
  • Ability to stand for extended periods, with potential requirements for stooping, kneeling, reaching, lifting, and carrying.
  • May need to lift up to 50 pounds.

Skills and Experience:

  • Minimum of 1 year of customer service experience.
  • Demonstrated ability to multitask and prioritize effectively.
  • Exceptional organizational capabilities.
  • Ability to remain calm and perform efficiently in high-pressure situations.
  • Strong active listening and customer service skills, with the ability to address client concerns diplomatically.
  • Facilitates effective communication among client service staff, veterinarians, and technical teams.
  • Excellent written and verbal communication skills, with a keen awareness of non-verbal cues.
  • Proficient problem-solving skills, with the ability to identify changes in circumstances and ensure client satisfaction.
  • Familiarity with computers, Microsoft Office, payment processing systems, multi-line phones, and other office equipment.
