Job Overview

Core Responsibilities:

  • Facilitate administrative support for all Board of Directors activities, including organizing board and committee meetings, managing communications, preparing and distributing agendas and meeting materials, recording and disseminating minutes for assigned meetings, maintaining relevant documentation and files, overseeing the Board portal, and arranging refreshments for Board meetings.
  • Coordinate meetings and events for the Executive Leadership team, including travel arrangements, lodging, and conference registrations.
  • Organize All Staff and departmental meetings, ensuring that refreshments are provided for Staff gatherings.
  • Develop and maintain accurate administrative files, documents, and electronic systems as required.
  • Assist in formulating and implementing departmental policies and procedures, while monitoring for necessary revisions and updates.
  • Support accounts payable processes by scanning invoices into the system, routing them for managerial approvals, ordering checks and envelopes as needed, and managing purchase orders for CEO review.
  • Ensure consistent communication with the CEO, COO, and CDO to provide necessary information and materials for task completion and updates on assignments.
  • Perform support functions for the administrative office, including managing incoming and outgoing mail and faxes, making copies, maintaining an inventory of supplies, and ordering supplies as necessary.
  • Act as the primary contact for IT-related matters, including managing IT orders, escalating tickets, and maintaining an inventory of IT equipment, while tracking all assets through management systems.
  • Uphold confidentiality regarding sensitive information in all aspects of the role.
  • Manage complex administrative tasks requiring independent judgment and initiative.
  • Perform additional duties as assigned.

Qualifications:

  • A minimum of 5 years of experience in an assistant role supporting C-Suite executives.
  • Experience in a fast-paced environment, adept at scheduling a high volume of meetings.
  • Highly organized, detail-oriented, with strong judgment in prioritizing the executive's time.
  • Committed to the mission of providing healthcare for the homeless community.
