The Senior Executive Administrative Coordinator will provide comprehensive administrative support to the Vice President of Engineering, demonstrating the ability to foresee, anticipate, and fulfill the operational requirements of the office.
Key responsibilities include:
- Managing the executive calendar, organizing events, and coordinating travel arrangements, both onsite and offsite.
- Engaging positively with various levels of personnel within the organization, including senior executives and corporate partners, while maintaining a professional and collaborative image of The Norland Group.
- Proactively screening correspondence and phone calls, directing inquiries to the appropriate parties as necessary.
- Handling additional tasks such as telephone support, preparing organization-wide communications, managing expense reports, and overseeing mail and paperwork distribution.
- Maintaining filing systems, copying documents, and performing other general administrative duties.
Given the sensitive and complex nature of this role, a thorough understanding of company policies and procedures is essential.
Event Coordination: The role includes planning and coordinating multiple business events of varying sizes and types.
Qualifications:
- A high school diploma with at least 8 years of relevant administrative experience, or an Associate Degree with a minimum of 4 years of related experience.
- A minimum of 5 years of experience managing multiple projects and deadlines in a dynamic environment.
Preferred Skills:
- At least 10 years of experience working with senior executives.
- Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook, including Teams).
- A strong sense of urgency and the ability to adapt to shifting priorities and unexpected situations.
- Good judgment and discretion in handling confidential information.
- A willingness to learn new skills and take on additional responsibilities as needed.
- Ability to work effectively both independently and as part of a team with minimal supervision.
- Exceptional organizational skills, attention to detail, and strong grammar proficiency.
- Capability to anticipate needs and demonstrate initiative in taking action and following through.
- Flexibility to work extended hours when necessary, including availability on short notice.
- A commitment to customer satisfaction and delivering high-quality work efficiently.
