Key Responsibilities:

  • Design and oversee an annual events calendar.
  • Proactively coordinate and plan social gatherings.
  • Engage with potential guests to arrange events both locally and during travel periods.
  • Collaborate closely with executives to ensure events align with organizational objectives.
  • Keep leadership informed about event timelines and necessary follow-ups.
  • Manage all aspects of event logistics, including venue selection, catering, decor, and entertainment.
  • Create invitation lists and handle RSVP management.
  • Coordinate with internal departments to prepare for events.
  • Arrange travel and accommodations for executives and special guests.
  • Assist in managing schedules and activities during events.
  • Handle logistics for Foundation publications as needed.
  • Research and coordinate additional engagements for executives during travel.
  • Oversee contracts, manage budgets, and authorize expenses.
  • Act as a liaison for organizations planning events involving executives.
  • Conduct post-event evaluations and follow-up communications.
  • Develop and implement event management systems and policies.
  • Perform additional duties and special projects as assigned.

Qualifications:

  • Minimum of three years of experience in event management.
  • Strong written and verbal communication abilities.
  • Proficient in Microsoft Office and other relevant software.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and meet deadlines effectively.
  • Possess a positive attitude and maintain composure under pressure.

Education:

  • Bachelor's Degree is preferred but not mandatory.

Licenses Required:

  • Valid Driver's License and access to a registered vehicle.

Travel Requirements:

  • Occasional travel for local or out-of-state events may be necessary.
