Role Summary:
We are in search of a dedicated Administrative Coordinator to support the Executive Leadership Team. This full-time position will play a pivotal role in enhancing operational efficiency and ensuring seamless communication within the organization.
Key Responsibilities:
- Provide comprehensive administrative support to the Executive Leadership Team, facilitating day-to-day operations.
- Manage complex scheduling and travel arrangements for executive leaders.
- Prepare, edit, and distribute various forms of communication, including reports, presentations, and correspondence.
- Oversee expense reporting and liaise with vendors to ensure smooth operations.
- Assist in the execution of strategic initiatives and projects, engaging with stakeholders and partners.
- Document minutes for Board and Executive Committee meetings, coordinating orientations for new Board members.
- Foster effective internal communications, ensuring alignment between leadership and staff.
- Lead efforts to cultivate relationships with donors, partners, and stakeholders, enhancing engagement across the organization.
- Coordinate all Board-related activities, including the preparation of materials and meeting logistics.
- Streamline information flow and manage priorities to support the Executive office effectively.
- Contribute to strategic planning and operational support across teams.
- Draft and disseminate agency-wide communications and reports as required.
- Support executives at events by capturing key discussions and insights.
- A Bachelor's degree is preferred, though not mandatory.
- Minimum of 5 years of relevant experience supporting C-Suite executives or high-level professionals.
- Experience in board management and donor relations, particularly in fundraising contexts.
- Exceptional customer service skills with a strong ability to engage with diverse stakeholders.
- Outstanding written and verbal communication skills, with a focus on presentation creation.
- Proficient in technology and constituent management systems.
- Strong understanding of social media platforms.
- Ability to maintain confidentiality and exercise discretion in all matters.
- This role is based in a standard office setting with a flexible work schedule.
- Typical office hours are Monday through Friday.
