Role Summary:

We are in search of a dedicated Administrative Coordinator to support the Executive Leadership Team. This full-time position will play a pivotal role in enhancing operational efficiency and ensuring seamless communication within the organization.

Key Responsibilities:
  • Provide comprehensive administrative support to the Executive Leadership Team, facilitating day-to-day operations.
  • Manage complex scheduling and travel arrangements for executive leaders.
  • Prepare, edit, and distribute various forms of communication, including reports, presentations, and correspondence.
  • Oversee expense reporting and liaise with vendors to ensure smooth operations.
  • Assist in the execution of strategic initiatives and projects, engaging with stakeholders and partners.
  • Document minutes for Board and Executive Committee meetings, coordinating orientations for new Board members.
  • Foster effective internal communications, ensuring alignment between leadership and staff.
  • Lead efforts to cultivate relationships with donors, partners, and stakeholders, enhancing engagement across the organization.
  • Coordinate all Board-related activities, including the preparation of materials and meeting logistics.
  • Streamline information flow and manage priorities to support the Executive office effectively.
  • Contribute to strategic planning and operational support across teams.
  • Draft and disseminate agency-wide communications and reports as required.
  • Support executives at events by capturing key discussions and insights.
Qualifications:
  • A Bachelor's degree is preferred, though not mandatory.
  • Minimum of 5 years of relevant experience supporting C-Suite executives or high-level professionals.
  • Experience in board management and donor relations, particularly in fundraising contexts.
  • Exceptional customer service skills with a strong ability to engage with diverse stakeholders.
  • Outstanding written and verbal communication skills, with a focus on presentation creation.
  • Proficient in technology and constituent management systems.
  • Strong understanding of social media platforms.
  • Ability to maintain confidentiality and exercise discretion in all matters.
Work Environment:
  • This role is based in a standard office setting with a flexible work schedule.
  • Typical office hours are Monday through Friday.
