Job Title: Executive Administrative Assistant

MacStadium is seeking an exceptional Executive Administrative Assistant to provide comprehensive support to the CEO and serve as a liaison between the Board of Directors and Senior Leadership Team (SLT). This role will utilize discretion, good judgment, and maintain confidentiality in facilitating the day-to-day activities.

Key Responsibilities:

  • Provide high-level administrative support to the CEO and/or other assigned C-Suite or senior leader
  • Organize team communications and plan company-wide events
  • Coordinate executive and board meetings, including conference room setup and technology preparation
  • Prepare documents in support of company objectives, including board books and presentations
  • Attend meetings to take meeting notes and maintain confidential documentation
  • Be responsive to incoming calls and emails, and deliver messages to the appropriate party in a timely manner
  • Arrange travel, accommodation, and expense reports
  • Perform research and analysis tasks, assist in projects, and compile required materials
  • Partner with HR and IT to maintain office operations and procedures

Requirements:

  • 3+ years of executive administrative assistant experience, direct CEO support preferred
  • Associate's degree preferred
  • Advanced skills in Microsoft Suite, including Outlook, Word, Sharepoint, Excel, Forms, and PowerPoint
  • Ability to work independently and collaboratively with a sense of urgency
  • Ability to navigate and perform in a remote-friendly, high-paced environment
  • Highly organized and able to juggle multiple projects
  • Excellent verbal and written communication skills
  • Excellent time management skills and ability to meet deadlines
