Job Summary

MiraVista Diagnostics is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to ensure smooth day-to-day operations.

Key Responsibilities
  • Administrative Support: Provide administrative support to ensure smooth day-to-day operations, including managing calendars, scheduling meetings, and handling correspondence.
  • File Management: Maintain and organize physical and electronic files, documents, and records, ensuring accuracy and confidentiality.
  • Communication: Serve as a primary point of contact for internal and external inquiries, responding promptly and professionally via phone, email, and in-person interactions.
  • Data Entry: Accurately enter data into databases and spreadsheets, and generate reports as required by management.
  • Travel Coordination: Coordinate travel arrangements, including booking flights, hotels, and transportation, and preparing travel itineraries.
  • Meeting Coordination: Schedule and coordinate meetings, conferences, and appointments, including arranging facilities and equipment as needed.
  • Financial Tasks: Assist with basic financial tasks, such as processing expense reports, tracking budgets, accounts payable and reconciling accounts.
  • Project Support: Provide support for various projects, including research, data collection, and preparing presentations or reports.
  • Office Management: Assist with office management duties, such as ordering supplies, maintaining office equipment, and coordinating maintenance requests.
  • Team Collaboration: Collaborate with colleagues across departments to ensure seamless coordination and communication.
  • Front Desk Management: Manages front desk and directs visitors.
  • Recognition Program: Administer recognition program and rewards.
  • Event Planning: Arrange corporate meals; set up and clean up committees, and other tasks associated with hosting.

  • Software Proficiency: Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other relevant software.

  • Attention to Detail: Strong attention to detail and accuracy in work.
  • Confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion.

  • Independence: Ability to work independently with minimal supervision.
Qualifications

Possesses solid working knowledge of subject matter.

High school diploma, 0 to 1 years of experience.
