Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to support our operations. The successful candidate will perform a variety of administrative functions, including invoicing, vendor management, and inventory transactions.

Key Responsibilities

  • Prepare invoices for services jobs and local product orders
  • Coding and submitting vendor invoices for timely payment processing
  • Set up vendor accounts as needed
  • Manage inventory transactions within applicable software programs
  • Answer phone calls and direct them to the appropriate team members
  • Maintain an organized file structure for invoiced services jobs and product orders
  • Provide customer service support over the phone for order status updates
  • Support coordinators, managers, shop mechanics, field technicians, and remote sales staff
  • Perform other duties as assigned by the manager

Requirements

  • High school graduate or equivalent
  • 3+ years of administrative experience preferred
  • Excellent organizational and time management skills
  • Excellent interpersonal skills for dealing with internal and external customers
  • Working knowledge of basic computer programs, including Microsoft Outlook, Word, and Excel
  • Ability to learn Microsoft CRM, VMS, Salesforce, and Dynamics AX
  • Fluent in English
  • Flexibility to handle multi-tasking and prioritize appropriately
