Job Description

Job Title: Medical Office Assistant

Hours: Monday - Friday, 8:00 AM - 4:30 PM

Contract: 3+ Months

Position Overview:

RightPro Staffing is looking for a meticulous and organized Administrative Program Assistant I to deliver extensive administrative and program support across our healthcare departments. This position entails managing a variety of administrative responsibilities, including document preparation, filing, correspondence, and report generation. Familiarity with medical coding is advantageous. The ideal candidate will demonstrate exceptional organizational skills, outstanding communication capabilities, and the ability to juggle multiple tasks efficiently.

Key Responsibilities:

  • Document Preparation: Structure, format, and produce various forms of correspondence, reports, invoices, and drafts utilizing word processing software or other automated tools. Review and refine documents for grammatical accuracy and clarity. Prepare grant proposals from notes, ensuring all necessary information and formatting are correct.
  • Records Management: Organize and maintain filing systems, and periodically review and update manuals and reference materials as required.
  • Communication: Evaluate and manage letters, memos, and other communications, determining necessary actions. Draft and refine correspondence pertinent to job responsibilities. Create and/or edit promotional and technical documents to support program initiatives.
  • Report Generation: Compile data and draft or edit reports, applying a general understanding of the subject matter. Utilize advanced spreadsheet applications as needed.
  • Customer Service: Represent the manager by interpreting and conveying established policies and procedures. Make decisions in the manager's absence within defined limits. Welcome and direct visitors, manage phone communications, screen and prioritize incoming calls, and address patient needs by assessing priorities and delegating tasks.
  • Administrative Support: Manage documentation, including complex travel arrangements and immigration processing. Monitor and reconcile monthly budgets, track expenditures, and process related documentation. Assist in program activities and logistical coordination.
  • Additional Duties: Undertake other related responsibilities as necessary.

Minimum Qualifications:

  • Knowledge and Skills:
    • Extensive knowledge of office operations and procedures.
    • Proficiency in grammar, punctuation, and spelling.
    • Understanding of business communications and departmental policies.
    • Basic knowledge of business mathematics.
    • Strong verbal and written communication skills.
    • Interpersonal skills with the ability to operate office equipment, including word processors and computer systems.
  • Experience and Training:
    • General Experience: Two (2) years of experience beyond the routine clerk level in office support or secretarial roles.
    • Substitutions: College coursework may substitute for general experience at a rate of fifteen (15) semester hours equating to six (6) months of experience.

Preferred Qualifications:

  • Experience or knowledge in medical coding is preferred.
