Key Responsibilities

  • Enhances communication with colleagues to ensure seamless and prompt support to assigned attorneys. Trains team members to guarantee consistent high-quality service during absences.
  • Acts as a discerning gatekeeper, prioritizing competing demands. Manages sensitive matters with confidentiality, urgency, foresight, and independence, ensuring tasks are completed successfully.
  • Develops a comprehensive understanding of legal practices and client needs. Maintains professional relationships with other legal representatives, courts, agencies, and professional organizations on behalf of the attorney, keeping updated client contacts and detailed client/matter records.
  • Proactively oversees timekeepers' schedules. Ensures attorneys meet submission deadlines for entries. Gains expert-level knowledge of the billing process. Coordinates the thorough review of proformas, tracks, edits, and updates, facilitating final bill approvals to ensure timely client delivery. Aids in achieving targets and year-end deadlines. Efficiently reconciles and processes expenses.
  • Drafts, revises, and proofreads correspondence, presentations, and various documents.
  • Independently organizes internal and external meetings with minimal guidance, managing logistics effectively.
  • Exhibits exceptional proficiency in Microsoft Outlook. Employs creative problem-solving skills to address challenging scheduling needs. Manages multiple calendars and supports scheduling across various attorneys, clients, offices, and time zones.
  • Monitors the attorney's inbox. Organizes, cleans up, and/or responds according to attorney preferences. Streamlines and organizes the Outlook folder structure. Ensures client/matter-related documents and emails are appropriately archived.
  • Actively participates in team meetings. Engages in focus groups, lunch and learns, and other knowledge-sharing initiatives, including mentorship programs, as needed.
  • Maintains expertise in the firm's core applications. Understands and adheres to best practices.

Preferred Qualifications

  • Bachelor's degree is preferred, accompanied by 7+ years of relevant experience.
  • Expert-level proficiency in MS Office (Word, Excel, PowerPoint, and Outlook) applications.
  • Exceptional organizational skills, with the ability to prioritize multiple tasks while maintaining excellent attention to detail.
  • Strong interpersonal skills and the capability to foster relationships with internal and external attorneys, staff, and clients.
  • Possesses outstanding verbal and written communication skills, adhering to professional business writing standards. Demonstrates a meticulous eye for detail in both informal and formal communications.
  • Collaborates effectively with other departments, seeking solutions to business challenges. Exhibits intellectual curiosity and a continuous drive to enhance service delivery.
