Job Overview:
The Property Operations Assistant supports the Property Manager in overseeing all facets of daily building management. Key responsibilities encompass administrative duties, managing office tasks, addressing general inquiries from residents, and resolving tenant issues.

The ideal candidate is a collaborative individual with excellent interpersonal, customer service, and organizational abilities, demonstrating meticulous attention to detail.


Employment Status:
Full-time, Nonexempt

Work Schedule:
Monday through Friday, 9:00 a.m. – 5:30 p.m.

Compensation:
$28.37 per hour; Comprehensive benefits package

About the Organization:
Established in 1977, Chinatown Community Development Center is a private non-profit organization committed to a holistic vision of community development.

We manage approximately 30 affordable housing properties, serving over 3,800 low-income seniors, single adults, formerly homeless individuals, and families from diverse ethnic and cultural backgrounds in various neighborhoods.

Our initiatives also include housing development, grassroots leadership cultivation, and engaging low-income residents and youth.

Key Responsibilities:
  • Property Management
    Assist the Property Manager with the overall functioning of the building.
  • Utilize Yardi for report generation and re-certification data entry.
  • Establish and maintain tenant records, applicant waiting lists, and transfer lists.
  • Support the housing application and rent collection processes.
  • Facilitate bank deposits and assist with processing applications, move-ins, move-outs, and certifications.
  • Compile and finalize tenant information for monthly and annual reports, including Vacancy Reports and other necessary documentation.
  • Oversee building operations in the absence of the Property Manager.

Tenant Relations:
  • Inform residents about and enforce compliance with regulations, lease terms, and house rules.
  • Address tenant requests and disputes, responding to building emergencies as needed.
  • Assist tenants and perform additional duties to ensure the successful operation of the building.
  • Support the Property Manager as required.
  • Timely forward reasonable accommodation requests and fair housing complaints to the 504 Coordinator.

Office Management:
  • Handle applications, photocopying, faxing, and filing.
  • Process invoices for approval by the Property Supervisor.
  • Manage daily mail and screen incoming phone calls.
  • Order office supplies, complete maintenance work orders, and distribute memos and notices.
  • Maintain the cleanliness and orderliness of the front entrance, lobby, and adjacent areas.

Qualifications:
  • Professional demeanor with a calm disposition.
  • Able to work with individuals from diverse social, economic, and ethnic backgrounds.
  • Capable of working independently and exercising sound judgment in problem-solving.
  • Strong written and verbal communication skills.
  • Adaptable to changing situations and able to work under pressure.
  • Excellent interpersonal and organizational skills.
  • Familiarity with Microsoft Windows, Word, Excel, Outlook, and property management software such as Yardi Voyage.

Minimum Requirements:
  • High School Diploma or GED equivalent.
  • Two years of prior experience in residential property management.
  • Detail-oriented with experience in processing paperwork.
  • Awareness of issues affecting low-income, disabled, and elderly populations.

Preferred Qualifications:
  • Experience with low-income/affordable residential property management.
  • Prior experience with YARDI Voyager.
  • Background in Affordable Housing.
  • Bilingual in Chinese (Cantonese or Mandarin) and English.
  • Experience with recertification and vacancy processing.
