Position Overview:
We are in search of a meticulous and organized Administrative Assistant to provide essential support to our Director in daily operations. The successful candidate will be instrumental in managing the Director's schedule, preparing and organizing documents, overseeing databases and spreadsheets, coordinating travel, facilitating meetings, and managing events and sponsorships.

Key Responsibilities:

Schedule Management:
Oversee and coordinate the Director's calendar, including arranging meetings, appointments, and travel logistics. Ensure timely reminders and follow-ups for all scheduled engagements.

Document Management:
Organize, prepare, and maintain essential documents, reports, and presentations. Accurately manage and update databases and spreadsheets.

Travel Coordination:
Arrange comprehensive travel plans, including flights, accommodations, and transportation. Prepare detailed itineraries and ensure all necessary travel documentation is available.

Meeting Assistance:
Support the planning, scheduling, and execution of meetings, including preparing agendas, taking minutes, and following up on action items. Coordinate logistics for both internal and external meetings.

Event Management:
Plan and coordinate corporate events, managing logistics, vendor relationships, and on-site support to ensure successful execution within budget.

Sponsorship and Membership Management:
Oversee and coordinate sponsorships and memberships, tracking renewals, payments, and benefits. Maintain positive relationships with sponsors and partners to ensure satisfaction.

Qualifications:
Demonstrated experience as an Administrative Assistant or in a comparable role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database management. Exceptional organizational and time management skills. Strong verbal and written communication abilities. Capacity to multitask and prioritize effectively in a dynamic environment. High level of discretion and confidentiality. Experience in event planning and coordination is advantageous.
