Position Overview:

We are in search of a highly organized and proactive Administrative Support Specialist to enhance our Legal team. This role offers an exciting chance for an individual who excels at multitasking and possesses a keen attention to detail. The successful candidate will deliver comprehensive administrative assistance, manage schedules, coordinate meetings, and oversee various office management tasks. This is a permanent role, providing an excellent opportunity to thrive in the dynamic field of law.

Key Responsibilities:

1. Deliver high-level administrative support to the legal team, including managing schedules, arranging meetings, and coordinating travel logistics.
2. Prepare and refine presentations, spreadsheets, and other essential documents.
3. Organize events, ensuring meticulous attention to detail from start to finish.
4. Manage sponsorships and memberships, collaborating with relevant parties for seamless operations.
5. Prepare and handle legal documents, maintaining utmost accuracy and confidentiality.
6. Maintain an organized filing system for easy access and quick retrieval of information.
7. Perform general office tasks such as ordering supplies, maintaining records management systems, and basic bookkeeping.
8. Liaise with clients and external vendors, providing exceptional service consistently.
9. Assist in preparing and coordinating board meetings and other significant events.
10. Undertake additional duties as assigned, demonstrating flexibility and adaptability.

Qualifications:

1. Minimum of 5 years' experience in an administrative capacity, preferably within the legal sector.
2. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
3. Outstanding organizational skills with the ability to juggle multiple tasks and meet tight deadlines.
4. Excellent verbal and written communication abilities.
5. Strong attention to detail and problem-solving capabilities.
6. Proven track record of handling confidential information with discretion.
7. Ability to work independently as well as collaboratively within a team.
8. Experience in event planning and management.
9. Familiarity with office management systems and procedures.
10. High school diploma required; additional qualifications as an Administrative Assistant or Secretary are advantageous.
