We are seeking an Office Administrator to serve as the first point of contact for clients and visitors at our organization. This role involves guiding clients to different areas of the office, communicating with staff regarding visitor arrivals, managing phone calls and messages, and overseeing the sorting and distribution of mail.
To excel in this position, you should possess outstanding written and verbal communication abilities, along with proficiency in Microsoft Office applications such as Word and Excel. Previous experience in a similar role is advantageous.
Key Responsibilities:- Welcome clients and visitors with a friendly and professional demeanor.
- Assist clients in navigating the office space.
- Announce clients to the appropriate personnel as needed.
- Help maintain office security by issuing and managing visitor badges and logs.
- Support various administrative tasks including copying, faxing, note-taking, and travel arrangements.
- Prepare meeting and training spaces.
- Handle phone calls professionally and direct them as required.
- Assist team members with administrative duties.
- Perform miscellaneous administrative tasks as needed.
- Manage phone call screening, forwarding, and answering.
- Sort and distribute incoming mail.
- Deliver exceptional customer service.
- Coordinate appointment scheduling.
- Diploma, Associate's, or Bachelor's degree in a relevant field.
- Prior experience in a receptionist or similar role.
- Consistent professional appearance and conduct.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
- Strong time management abilities.
- Familiarity with administrative and clerical processes.
- Able to work collaboratively as part of a team, assisting with various tasks as needed.
