Role Summary

As a Sales Support Specialist, your main responsibility will be to assist the designated Sales Representative within the assigned territory.

Key Responsibilities

  • Quoting: Generate quotes for clients utilizing Salesforce. Ensure all pertinent information is gathered from the Sales Representative, including customer details, project specifics, contact information, wage rate requirements, surfacing requests, site furnishing requests, and other relevant data.
  • Order Processing: Upon customer approval of a quote, you will convert it into a sales order. Ensure precise information transfer from the quote to the sales order, including customer information, billing details, shipping instructions, and any additional notes necessary for logistics.
  • Contract Review: Responsible for examining contract documents from clients and for management approval. Focus on critical elements related to the project/order, such as:
    • Scope of Work
    • Wage Requirements
    • Completion Dates/Requirements
    • Safety Plans
    • Lead Time Feasibility
    • Penalty Clauses (if applicable)
    • Resale Certificates/Exemptions
    • Credit Applications
    • Redlined sections that are not agreed upon
    • Ensuring all contract sections are duly completed
  • Bid Preparation: Assist in the compilation of bids for various projects, including gathering bid documents, project names, locations, due dates, and specific contractors or bidders.
  • Communication: Maintain effective communication with clients and vendors regarding quotes, orders, and related inquiries. Collaborate with vendors to secure pricing for equipment and installation.
  • Customer Support: Be accessible to clients via phone, web meetings, or other communication channels. Provide exceptional customer service by promptly addressing inquiries, resolving issues, and delivering product information.
  • Presentation Assistance: Occasionally prepare materials and packets for presentations. Support the development of resources needed for sales and marketing initiatives.
  • Interdepartmental Support: Offer assistance to other departments as needed, such as Logistics and Parts, ensuring smooth and efficient operations.
  • Database Management: Utilize Salesforce to organize and manage accounts, contacts, opportunities, and tasks. Maintain up-to-date records and ensure information accuracy.
  • Document Organization: Maintain both physical and digital project files, organizing all relevant materials, including quotes, bids, tax rates, vendor quotes, freight details, and email correspondence.
  • Relationship Management: Foster positive relationships with clients, vendors, and team members to promote a collaborative and productive work environment.

Qualifications

  • High School Diploma or equivalent.
  • Ability to thrive in a dynamic, growing organization, with a willingness to learn and adapt.
  • Proficiency in MS Office applications.
  • Experience with Salesforce or similar CRM systems is advantageous.
  • Strong communication, interpersonal, and customer service skills.
  • Willingness to collaborate and solve problems across departments.

Working Conditions

  • Standard working hours with the possibility of overtime as required.
  • This position is primarily onsite.
