Job Description

Job Summary:

The Project Coordinator will work closely with customers, vendors, contractors, and sales teams to create business transactions for Generac Generator Sales. This role requires strong organizational skills, attention to detail, and effective communication to manage multiple responsibilities and projects.

Key Responsibilities:

  • Coordinate Generator equipment sale projects, focusing on the manufacturer (Generac).
  • Maintain and monitor project plans, schedules, work hours, budgets, and expenses.
  • Coordinate deliveries between Generac, shipping companies, riggers, and customer sites.
  • Track and trace equipment, ensuring proper and timely delivery, and communicate critical dates to stakeholders.
  • Visit project sites as needed to confirm delivery and equipment condition.
  • Communicate frequently with electrical, mechanical, and general contractors, Generac, and vendors to ensure jobs are completed on time.
  • Gather stored material documents, including photos, certificates of insurance, and bills of sale.
  • Assist in obtaining and compiling Operation & Maintenance documentation for customers.
  • Maintain a general technical and application knowledge of Generac's Generators and ancillary parts/equipment.
  • Manage and maintain DVL's Generac in-house inventory.
  • Manage incoming and outgoing Generator and ancillary part/equipment orders to and from DVL Warehouses.
  • Assist sales electronically with maintaining company orders in CRM (HubSpot and GenConnect).
  • Verify and obtain Sales Manager approval for each GenConnect order configuration to minimize errors.
  • Review and approve crane/rigging and freight invoices for processing.
  • Attention to detail and knowledge of individual customer accounts, goals, site conditions, and project statuses.
  • Work with Sales and Service Coordinators on combined projects.

Requirements:

  • High School Diploma required, some college preferred.
  • Recent relevant equipment sales project management experience required; industrial product experience preferred.
  • Three years of relevant customer service experience.
  • Experience or exposure to reviewing and approving invoices from vendors.
  • Experience working in a fast-paced demanding environment with multiple deadlines.
  • Strong organizational skills and ability to stay organized with complex projects.
  • Proficient with Microsoft Office Suite – Excel, Word, Outlook, and HubSpot (or similar).
  • Valid driver's license to travel to customer sites.
