Job Title: Commercial Property Manager

Reports To: Vice President, Operations – Property Management

Overview:

The Commercial Property Manager is tasked with overseeing the daily management functions for designated commercial, retail, and medical office properties. This role includes supervising a team of assistant property managers, property administrators, customer service representatives, and maintenance staff tailored to the size and requirements of the property portfolio.

Core Responsibilities:

The Commercial Property Manager is essential in enhancing and optimizing the value of the property owner's investment. This includes directing the business operations of the property to ensure optimal performance, growth, and return on investment. Regular travel to portfolio properties is expected, at least quarterly. Responsibilities also encompass planning, organizing, and managing property activities through effective resource utilization, including new and renewal leasing.

Key Duties:

1. Establish a tenant relations program focused on building operations and tenant comfort, fostering strong relationships through regular engagement.

2. Oversee the collection of tenant rents and prepare delinquency reports in accordance with company policies.

3. Collaborate with the brokerage team on leasing activities as needed.

4. Address and escalate emergencies or significant issues to the Vice President, Operations - Property Management.

5. Lead staff to achieve goals and objectives across assigned properties.

6. Ensure compliance with Property Management Agreements and understand landlord and tenant obligations as outlined in lease agreements.

7. Implement effective training and development programs for portfolio staff.

8. Solicit bids for service contracts, prepare specifications, and recommend service providers to the Vice President, Operations - Property Management.

9. Monitor service request response times and ensure maintenance staff efficiency.

10. Conduct regular property inspections to assess personnel effectiveness, including third-party vendors.

11. Review financial and operational performance of properties, providing variance explanations and recommending budget modifications as necessary.

12. Prepare comprehensive monthly management reports, including financial statements and operational updates.

13. Develop annual operating and capital budgets for properties, subject to review and approval by senior management.

14. Engage in community activities consistent with property management responsibilities, fostering relationships with key clients and industry associations.

Qualifications:

  • Minimum of 5 years in commercial property management.
  • Bachelor's degree in Real Estate, Business, Finance, or a related field is preferred.
  • Real estate certifications such as CCIM, CPM, RPA, or a real estate license are advantageous.

Skills:

  • Proven leadership abilities with strong organizational and interpersonal skills.
  • Capability to plan, assign, and direct the work of subordinate staff.
  • Independent problem-solving and decision-making skills.
  • Ability to manage multiple complex tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficient in financial software, Excel, and other spreadsheet applications.
