Job Overview

The Administrative Executive and Project Coordinator plays a pivotal role in providing comprehensive support to the regional executive team, which includes the Executive Director, Chief Academic Officer, and Chief Operations Officer. This position is essential for ensuring the smooth operation of various high-level functions.

Key Responsibilities:


1. Facilitates executive communications and correspondence, managing calls, emails, and drafting official letters while ensuring timely and accurate responses.


2. Assists in the administration of the Board of Directors by providing logistical support for meetings, managing the board calendar, onboarding new members, and preparing meeting materials and minutes.


3. Offers executive-level problem-solving assistance to the regional executive team, evaluating the urgency and significance of situations to determine the appropriate level of involvement.


4. Manages calendars, organizes both internal and external meeting logistics, and coordinates travel arrangements.


5. Oversees the Executive Director's budget, ensuring effective financial management.


6. Conducts data entry and maintains organized filing systems.


7. Manages daily office operations and performs additional duties as assigned.


8. Supports compliance with federal and state grants received through the organization, including the development of implementation plans, tracking data for reporting requirements, and assisting in the preparation of evaluation reports.


9. Ensures adherence to charter school operator requirements, including the submission of necessary documentation.


10. Coordinates logistics for organization-wide events and oversees special executive-level projects, executing strategic initiatives and research independently.


11. Collaborates on other organization-wide projects as needed and actively engages as a dedicated member of the staff.
