Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support the general office administration activities of our dynamic, high-growth organization. This role is client-facing, so the candidate must project a professional company image through in-person and phone interaction.

Key Responsibilities
  • Provide timely, professional administrative assistance to employees and executives to enhance the team's productivity
  • Prepare and manage travel and expense reports
  • Create, edit, and troubleshoot documents using Microsoft Office (intermediate to advanced level)
  • Support the production and assembly of company presentations and client materials
  • Setup and coordinate meetings and conference calls
  • Maintain hard copy and electronic filing systems for company and client investment materials
  • Support staff in assigned project-based work
  • Manage Outlook inboxes, recording and saving down documents
  • Setup and coordinate meetings and events
  • Assist company executives with scheduling travel
  • Act as a backup for general reception activity, including answering telephones, scheduling, and directing clients and visitors
  • Back-up for maintaining office supply room and kitchen, and keeping track of inventory
  • Support facilities coordination
  • Other duties as assigned
Requirements
  • College degree preferred
  • At least 3 years of administrative experience in a financial services organization or equivalent
Preferred Skills
  • Acute attention to detail
  • Ability to be proactive and take initiative
  • Strong ability to multi-task and prioritize workflow in a fast-paced, detail-oriented environment
  • Intermediate to Advanced knowledge of Microsoft Office (Outlook, Word, and Excel essential), including knowledge of page and section breaks
  • Professional verbal and written communication skills
  • Foreign language skills is a bonus
