Job Overview

POSITION SUMMARY

The Healing Arts Operations Supervisor plays a crucial role within the Healing Arts leadership team, managing the initial point of contact for guests engaging with the Healing Arts Department. This position involves training and overseeing the Advisor Team at the reception area, as well as onboarding Practitioners who provide services within the Healing Arts sector. The Supervisor is responsible for implementing effective booking strategies and delivering outstanding customer service by collaborating with all booking agents in the Healing Arts reception area, while adhering to departmental protocols.

KEY RESPONSIBILITIES

  • Provide training and mentorship to Healing Arts Desk Associates at the reception area.
  • Lead and supervise the Healing Arts desk team, offering guidance, support, and motivation.
  • Manage the scheduling of Practitioners, including master schedules, data entry into Resort Suite, and handling practitioner time-off requests.
  • Coordinate professional development initiatives for Practitioner training sessions.
  • Maintain a consistently high standard of holistic customer service.
  • Oversee all Aladco ordering and communicate inventory needs to management for procurement.
  • Ensure sufficient departmental supply inventory in treatment rooms, storage areas, and general office supplies.
  • Ensure operational functionality of department equipment and computer systems, coordinating repairs with relevant personnel to minimize guest disruption.
  • Ensure that the Healing Arts environment meets departmental cleanliness standards; collaborate with housekeeping to uphold these standards and communicate repair needs to facilities.
  • Maintain daily room schedule logs for providers.
  • Manage time-off and coverage requests to ensure guest availability in accordance with departmental policies.
  • Keep advisor staff schedules updated, including scheduling and time-off requests.
  • Regularly update advisor policy manuals and practitioner manuals.
  • Maintain accurate records of employee contact information and phone lists.
  • Check in guests for services, as well as manage appointment changes and cancellations to support advisory staff.
  • Responsible for opening and closing the department as required, performing all necessary tasks.
  • Assist with linen room and dispensary duties as needed.
  • Support advisor staff responsibilities as necessary.
  • Address service recovery issues as required.
  • Perform other duties as assigned.

SCHEDULE:

  • Some evening shifts (12:00 PM – 8:30 PM)
  • Weekend availability is required.

ESSENTIAL SKILLS AND EXPERIENCE

  • 1-2 years of experience in office administration.
  • 1-2 years of supervisory experience.
  • Proficient in computer skills, particularly Microsoft Office 2010, Excel, Word, and PowerPoint.
  • Strong communication skills with the ability to thrive in a fast-paced, guest-centered environment.
  • Exceptional customer service skills.
  • Excellent organizational skills with a keen attention to detail.

VALUED BUT NON-ESSENTIAL SKILLS AND EXPERIENCE

  • Knowledge of bodywork and/or other healing modalities is a plus.
  • Prior experience with Resort Suite software is advantageous.

PHYSICAL REQUIREMENTS

  • Ability to sit or stand for extended periods.
  • Must be able to lift at least 25 pounds independently or with assistance on an occasional to frequent basis.
  • Ability to bend, stoop, reach, crouch, walk, kneel, push, pull, and twist repeatedly.
  • Ability to utilize fine motor skills.
  • Ability to lift products overhead.
  • Ability to remember product placement and backstock.
  • Ability to write notes, emails, and similar items on a computer, touch screen, or by hand.
