POSITION SUMMARY
The Healing Arts Operations Supervisor plays a crucial role within the Healing Arts leadership team, managing the initial point of contact for guests engaging with the Healing Arts Department. This position encompasses training and overseeing the reception team while facilitating the onboarding of Practitioners providing services in the Healing Arts sector. The Supervisor is responsible for implementing effective booking strategies and delivering outstanding customer service by coordinating with all booking personnel in the Healing Arts reception area, in accordance with departmental protocols.
KEY RESPONSIBILITIES
- Train and guide Healing Arts Desk Associates at the reception area.
- Lead and supervise the Healing Arts desk team, offering support, direction, and encouragement.
- Manage the scheduling of Practitioners, including master schedules, data entry into the management system, and handling practitioner time-off requests.
- Organize and facilitate professional development initiatives for Practitioner training.
- Uphold a consistently high standard of holistic customer service.
- Oversee inventory orders and communicate supply needs to management for procurement.
- Ensure adequate supply levels in treatment rooms, storage areas, and general office supplies.
- Maintain operational efficiency of departmental equipment and computer systems, coordinating repairs as necessary.
- Ensure the Healing Arts environment adheres to cleanliness and maintenance standards; collaborate with housekeeping for upkeep.
- Maintain accurate daily logs of provider room schedules.
- Manage time-off and coverage requests to ensure guest availability aligns with departmental policies.
- Keep advisor staff schedules current, including time-off requests.
- Regularly update advisor and practitioner policy manuals.
- Maintain precise records of employee contact details and phone lists.
- Check in guests for services and assist with appointment modifications as needed.
- Responsible for the opening and closing procedures of the department.
- Assist with linen room and dispensary tasks as required.
- Support advisor staff responsibilities as necessary.
- Address service recovery issues as they arise.
- Perform other related duties as assigned.
SCHEDULE REQUIREMENTS
- Availability for some evening shifts (12:00 PM – 8:30 PM).
- Weekend availability is essential.

ESSENTIAL SKILLS AND EXPERIENCE

- Strong communication skills with the ability to thrive in a fast-paced, guest-focused environment.
- Exceptional customer service abilities.
- Excellent organizational skills with a keen attention to detail.
VALUED BUT NON-ESSENTIAL SKILLS AND EXPERIENCE
- Familiarity with bodywork or other healing modalities is advantageous.
- Prior experience with management software is a plus.
PHYSICAL REQUIREMENTS
- Ability to sit or stand for extended periods.
- Must be able to lift a minimum of 25 pounds independently or with assistance on a frequent basis.
- Ability to bend, stoop, reach, crouch, walk, kneel, push, pull, and twist regularly.
- Ability to utilize fine motor skills.
- Ability to lift items overhead.
- Ability to remember product placement and backstock.
- Ability to compose notes, emails, and similar communications on a computer or by hand.
