Retail Operations Coordinator

POSITION SUMMARY
The Retail Operations Coordinator collaborates closely with the Shop Manager and purchasing team to ensure the efficient execution of essential administrative tasks. This includes developing staff schedules and managing all shop-related signage. The coordinator also assists the sales team on the floor, provides training on register operations and product knowledge, and offers support during peak periods when additional coverage is necessary. Flexibility and adaptability are key components of this role.
KEY RESPONSIBILITIES
- Oversee the Shop's email communications and manage inquiries.
- Maintain and update the Program Buying Spreadsheet with relevant submissions, inventory orders, and event details.
- Develop and distribute the weekly staff schedule, working in conjunction with the Shop Manager to accommodate staff availability and time-off requests.
- Create and manage signage for events such as book signings and trunk shows, as well as any other necessary informational displays.
- Coordinate with management and supervisors to ensure all events and programs are properly showcased, including updates from buyers.
- Possess comprehensive knowledge of upcoming programs, including dates and product requirements, to ensure adequate merchandise preparation and inventory management.
- Conduct research on upcoming events to determine necessary book orders for presenters who have not submitted their requests.
- Participate in weekly meetings to stay informed about past and future programs and to address inquiries from other departments.
- Maintain open communication with program coordinators to resolve any product-related issues.
- Contact presenters directly to clarify any discrepancies regarding orders or product arrivals.
- Monitor consignment orders as required.
- Additional duties may be assigned as necessary.
ESSENTIAL QUALIFICATIONS
- At least 1 year of experience in a retail environment.
- High School Diploma or equivalent qualification.
- Strong multitasking abilities.
- Willingness to shift focus between various tasks as needed.
- Basic proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Team-oriented mindset with a commitment to prioritizing the Shop's best interests.
- Attention to detail, punctuality, and strong communication skills are essential.
- Availability to work weekends is required.
PHYSICAL DEMANDS
- Ability to stand and walk for extended periods, up to 6 hours.
- Capability to lift items weighing up to 25 lbs. frequently.
- Ability to bend, stoop, reach, crouch, walk, kneel, push, pull, and twist repeatedly.
