POSITION SUMMARY
The Healing Arts Operations Manager is responsible for overseeing the initial point of contact for guests engaging with the Healing Arts Division. This position entails training and managing the Reception Team while facilitating the onboarding process for Practitioners delivering services within the Healing Arts sector. Furthermore, the Manager guarantees proficient scheduling practices and outstanding customer service by maintaining communication with all booking personnel in the Healing Arts reception area, in accordance with departmental protocols.
KEY RESPONSIBILITIES
- Provide training and mentorship to Healing Arts Reception Associates.
- Lead and supervise the Healing Arts reception team, offering direction, support, and encouragement.
- Manage the scheduling of Practitioners, including master schedules, data entry, and handling time-off requests.
- Coordinate professional development initiatives for Practitioner training sessions.
- Uphold a consistently high standard of holistic customer service.
- Ensure sufficient inventory of departmental supplies in treatment areas and general office spaces.
- Facilitate repairs with relevant departments to address issues promptly and efficiently.
- Communicate repair needs to facilities management.
- Maintain daily logs for provider room schedules.
- Ensure guest availability by effectively managing time-off and coverage requests.
- Keep advisor policy manuals and practitioner guidelines current.
- Maintain accurate records of employee contact details.
- Check in guests for services and manage appointment changes or cancellations.
- Responsible for the opening and closing of the department as required.
- Assist with linen and supply management as necessary.
- Support advisor staff duties as needed.
- Address service recovery issues as they arise.
- Perform other assigned tasks as necessary.
WORK SCHEDULE:
- Availability for some evening shifts.
- Weekend availability is essential.

ESSENTIAL SKILLS AND EXPERIENCE
- 1-2 years of experience in office administration.
- 1-2 years of supervisory experience.
- Proficient in computer applications, particularly Microsoft Office.
- Strong communication skills and ability to thrive in a fast-paced environment.
- Exceptional customer service abilities.
- Excellent organizational skills with a keen attention to detail.
VALUED BUT NON-ESSENTIAL SKILLS AND EXPERIENCE
- Familiarity with bodywork and healing practices is advantageous.
- Previous experience with scheduling software is a plus.
PHYSICAL REQUIREMENTS
- Ability to sit or stand for extended periods.
- Must be capable of lifting at least 25 pounds independently or with assistance.
- Ability to bend, stoop, reach, crouch, walk, kneel, push, pull, and twist.
- Ability to utilize fine motor skills, lift items overhead, and remember product placement.
- Ability to document notes and information on a computer.
