Administrative Reception Specialist
The Administrative Reception Specialist serves as the primary point of contact for clients, suppliers, new employees, and visitors at Tri-Pac, Inc. This role requires a friendly, approachable demeanor to ensure a welcoming atmosphere for all guests. The individual will handle visitor reception, manage client communications, and adeptly prioritize various tasks and projects. The Administrative Reception Specialist is meticulous and capable of juggling multiple responsibilities while maintaining confidentiality and demonstrating exceptional verbal and written communication abilities.

Key Responsibilities:
  • Handles incoming phone calls and directs them to the relevant staff members.
  • Prepares meeting spaces and organizes appointments.
  • Oversees and maintains email correspondence through Outlook.
  • Welcomes and checks in visitors and new employees, ensuring compliance with sign-in protocols.
  • Provides diverse administrative support to management.
  • Organizes, prioritizes, and manages daily tasks effectively.
  • Creates handouts and materials for meetings.
  • Drafts company announcements and internal communications.
  • Takes detailed notes during meetings as required.
  • Maintains executive filing systems.
  • Organizes and manages office supplies inventory.
  • Performs additional administrative tasks as needed.
Qualifications:
  • High School Diploma or equivalent.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
  • Accurate typing and data entry skills.
  • Experience in supporting executive-level personnel is preferred.
