The individual will manage visitor interactions, handle customer inquiries, and adeptly prioritize various tasks. The Administrative Reception Specialist is detail-oriented, capable of meeting deadlines while maintaining confidentiality and exhibiting exceptional verbal and written communication skills.
Key Responsibilities:
- Handles incoming phone calls and directs them to the appropriate staff members.
- Prepares meeting spaces and coordinates schedules for appointments.
- Oversees and organizes Outlook email communications.
- Welcomes and registers visitors and new hires, ensuring compliance with sign-in procedures.
- Provides diverse administrative support to management.
- Plans, prioritizes, and organizes daily tasks effectively.
- Creates handouts and materials for meetings.
- Drafts company announcements and internal communications.
- Takes detailed notes during meetings as required.
- Maintains executive filing systems.
- Organizes and manages office supplies inventory.
- Performs additional administrative tasks as needed.
- High School Diploma or equivalent.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
- Accurate typing and data entry skills.
- Experience in supporting executive-level personnel is preferred.
