Position Overview

The Service Operations Coordinator is tasked with the scheduling, directing, and oversight of service work orders while ensuring exceptional customer satisfaction.

Key Responsibilities
  • Collaborates with the Supervisor and Safety Department to ensure adherence to all safety and contamination control protocols within the Service departments.
  • Effectively manages Work in Process levels for the department.
  • Engages with customers regarding scheduling, quoting, and equipment repairs.
  • Processes technician labor hours through various time collection systems and in Service Link.
  • Issues Purchase Orders to vendors.
  • Manages Concur Expense Accounts.
  • Works seamlessly with the Parts Departments to deliver optimal Product Support to our customers.
  • Provides effective support and communication with parts and service department associates.
  • At the start of each shift, reviews work schedules, checks required equipment and supplies, and prepares for operations.
  • Monitors warranty repairs and evaluates product improvement and support programs for accuracy.
  • Assigns or performs general housekeeping duties as necessary.
  • Undertakes additional responsibilities as assigned.
Supervisory Duties

This position does not entail supervisory responsibilities.

Education and Experience
  • High School Diploma or equivalent.
  • 1-2 years of customer service experience in a related field.
  • Strong organizational capabilities.
  • Critical thinking and problem-solving abilities.
  • Adaptability to changing business demands.
  • Ability to manage multiple tasks simultaneously.
  • Engaged and positive attitude.
  • Commitment to upholding company values and actions.
  • Ability to operate independently with minimal supervision.
Technical Skills

Proficient in Microsoft Office Suite (Word, Excel, Adobe, Outlook, and PowerPoint).

Certificates and Licenses

Valid driver's license required.

Language Proficiency
  • Ability to read and interpret documents such as safety regulations, operating and maintenance instructions, and procedural manuals.
  • Capability to write routine reports and correspondence.
Mathematical Proficiency

Ability to compute figures and amounts such as discounts, interest, commissions, and proportions.

Reasoning Skills
  • Ability to solve practical problems and address a variety of concrete variables in situations with limited standardization.
  • Ability to interpret various instructions provided in written, oral, diagram, or schedule form.

Physical Demands

While performing the duties of this position, the employee is regularly required to stand, walk, use hands to finger, handle, or feel, reach with hands and arms, and talk or hear. The employee frequently sits and must often lift, carry, push, pull, or otherwise move up to 25 pounds. Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment

While performing the duties of this position, depending on the site location, the employee may be exposed to moving mechanical parts and equipment. The employee may occasionally encounter high, precarious places, fumes or airborne particles, outside weather conditions, and vibration. Exposure to wet and/or humid conditions, toxic or caustic chemicals, extreme cold, extreme heat, and risk of electrical shock may occur. The noise level in some work environments may be loud.
