Position Summary

The role of the Service Coordinator is vital in ensuring the operational effectiveness of our branch. This position emphasizes administrative support with a strong focus on customer satisfaction, promptness, precision, and thorough follow-up.

Key Responsibilities

  • Provide comprehensive administrative assistance, including the management of both electronic and physical records related to branch activities.
  • Oversee the creation, tracking, and entry of documentation such as service contracts and related expenses into our Enterprise Resource Planning (ERP) system.
  • Address inquiries from customers and vendors via telephone and email.
  • Generate, distribute, and monitor customer invoices and credit memos.
  • Assist in the collection of outstanding invoices from clients.
  • Act as a support resource for the service manager in scheduling and dispatching field service assignments.
  • Manage requests for records related to audits and other inquiries.
  • Provide backup support for customer parts requests.
  • Perform additional tasks as assigned.

Candidate Profile

The Service Coordinator position may be suitable for you if you possess the following qualifications:

  • A minimum of a two-year degree or three years of relevant experience.
  • At least two years of experience in an administrative support capacity and one year in a customer-facing role.
  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.
  • Strong written and verbal communication abilities.
  • Exceptional customer service skills.

Preferred Qualifications

  • Experience with an Enterprise Resource Planning (ERP) system.
  • Strong organizational and time management skills, with the ability to prioritize tasks in a dynamic environment.
  • Attention to detail and a commitment to quality.
