Job Summary

The Accounts Payable Manager is responsible for overseeing the accounts payable process, ensuring accurate and timely processing of all invoices and payments. This role implements and maintains internal controls, working closely with hotel properties and corporate Accounting team to resolve any payment issues.

Key Responsibilities
  • Oversee the accurate and timely processing of vendor invoices, corporate credit card transactions, expense reports, and payment requests for hotels and corporate office accounts payable.
  • Ensure all invoices are properly coded, approved, and recorded in the accounting system.
  • Manage the company's weekly payment cycles, including check runs, ACH payments, and wire transfers for corporate and hotel properties.
  • Establish and maintain communication with all financial institutions utilized for hotels and the corporate office.
  • Ensure all payments are made in accordance with company policies and procedures.
  • Oversee the reconciliation of accounts payable sub-ledger to the general ledger.
  • Prepare and review accounts payable aging reports, vendor reconciliations, and other financial reports as needed.
  • Ensure proper documentation of all vendors to follow the 1099 process.
  • Process company 1099s annually.
  • Maintain M3 vendor database set-up, ensuring all vendors meet company policies.
  • Implement and maintain internal controls to ensure the accuracy and integrity of accounts payable processes.
  • Ensure compliance with regulatory requirements.
  • Manage accounts payable systems and software, ensuring data integrity and efficiency.
  • Identify and implement system improvements.
  • Identify opportunities for process improvements and implement best practices to streamline and enhance reporting in accounts payable operations.
  • Lead or participate in special projects as assigned.
  • Foster a positive and collaborative team environment.
Requirements
  • Bachelor's degree from an accredited university or equivalent experience in a related field.
  • A minimum two (2) years of experience in the accounting and finance field required.
  • A minimum one (1) year of supervisory experience required.
Work Environment

This position is located in a typical office/administrative setting with no exposure to adverse environmental conditions.
