Role Summary:
The Front Office Coordinator is the first point of contact for clients and visitors, both in-person and via phone. This role is essential in managing inquiries and directing individuals to the appropriate department or personnel for assistance. Additional responsibilities include performing essential administrative and clerical tasks to support overall operations.
Key Responsibilities:
- Welcome all guests entering the premises and address their inquiries or direct them accordingly.
- Manage a multi-line phone system, ensuring calls are routed to the correct staff members.
- Facilitate the sending of faxes and emails as needed.
- Handle incoming and outgoing mail efficiently.
- Provide administrative support, including creating customer files and processing work orders.
- Assist in the preparation and editing of Word documents and Excel spreadsheets as required.
- Organize and maintain filing systems for paperwork.
Qualifications:
- At least two years of experience in a customer service role, ideally as a receptionist.
- High school diploma or equivalent qualification.
- Possession of a valid driver's license.
- Exceptional customer service skills.
- Strong attention to detail.
- Ability to work independently and manage tasks effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite.
- Effective time management skills with the capability to juggle multiple tasks and priorities.
