Job Description

Administrative Support Specialist:

  • Deliver comprehensive assistance to the Department Head, including drafting business correspondence, memos, and various forms of communication.
  • Skilled in computer applications with a strong command of Microsoft Office Suite: Word, Excel, Outlook, etc.
  • Excellent writing and organizational abilities.
  • Adept at managing multiple responsibilities while maintaining composure under tight deadlines.
  • Capable of engaging professionally with all tiers of management, colleagues, subcontractors, clients, suppliers, etc.
  • Oversee the distribution of plans and specifications to estimators, coordinate project timelines, and maintain an organized customer filing system along with job schedules and calendars.
  • Facilitate the processing of contracts, change orders, invoices for payments, and purchase orders while ensuring accuracy and reporting discrepancies to management.
  • Maintain records of Certificates of Insurance within customer files.
  • Engage with client billing representatives to ensure timely collection of receivables.
  • Assist in the verification and prompt processing of subcontractor invoices, payments, and documentation.

Compensation is commensurate with demonstrated skills and experience.
