POSITION LOCATION

Saint Paul, Minnesota

WORKING HOURS

Monday to Friday, 8:30 AM to 5:00 PM, with occasional Saturdays.

Note: Scheduled hours may vary at the discretion of the employer.

ROLE SUMMARY

The Property Management Associate provides essential support to the Property Manager in all operational and financial aspects of property management to achieve company objectives. Responsibilities include managing collections, fostering resident relations, ensuring maintenance compliance, and adhering to company safety protocols and regulations.

KEY RESPONSIBILITIES

Leasing Duties

  • Respond to incoming inquiries regarding available apartments, providing detailed information and encouraging prospective tenants to schedule property visits.
  • Exhibit knowledge of the community and apartment features, effectively communicating their benefits.
  • Follow up with potential renters who have not yet made a decision, continuing to promote the property.

Administrative Tasks

  • Screen prospective tenants by collecting rental and credit history, obtaining necessary approvals per company guidelines.
  • Assist in managing the turnover schedule, coordinating with vendors for necessary work.
  • Facilitate the move-in process for new residents, including lease discussions and conducting inspections.
  • Oversee the move-out process for departing residents, including conducting inspections.
  • Support rent collection efforts, including processing payments and sending notices for overdue accounts.
  • Ensure completion of all essential office documentation, including invoice review and coding.
  • Adhere to all safety program requirements and promote a safe workplace environment.

Marketing Responsibilities

  • Collaborate with the Property Manager to conduct regular market research to stay informed about competitive offerings.
  • Gather rental information data as requested by the Property Manager.

Resident Engagement

  • Assist in organizing resident events, participating as needed.
  • Handle all incoming calls and in-person inquiries, addressing resident requests and concerns in the absence of the Property Manager.
  • Promptly address maintenance requests, ensuring repairs are completed satisfactorily and following up with residents as necessary.

QUALIFICATIONS

Education and Experience:

  • High school diploma or GED required.
  • 1-2 years of experience as a Leasing Consultant or in a similar role.
  • Experience managing sensitive and confidential information.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Familiarity with Yardi software is preferred.

Skills and Abilities:

  • Fluent in English with strong oral and written communication skills.
  • Ability to interact with tact and diplomacy when dealing with colleagues and the public.
  • Exceptional attention to detail.
  • Capability to work collaboratively within a team environment.
  • Real Estate Licenses must not be active while in this position.

PHYSICAL REQUIREMENTS

Must be able to work in a standard office environment and utilize standard office equipment, including computers. The role requires stamina to maintain focus despite interruptions, the ability to lift and carry items weighing up to 10 pounds, and the mobility to navigate the property effectively.
