Position Overview

The State of Washington is seeking applications from qualified candidates for the role of Project Coordination Specialist within the Washington Open ProfTech initiative.

This position is integral to the Educational Resources and Innovation team, focusing on the effective execution of the Washington Open ProfTech project, a federally-supported initiative aimed at creating a series of open educational resources for professional technical programs across Washington's community and technical college network.

We are looking for a detail-oriented, proactive, and collaborative individual who excels in a team-oriented project environment. The ideal candidate will prioritize effective communication and demonstrate strong project management capabilities. They should possess a growth mindset and the ability to manage multiple responsibilities with efficiency and transparency. Experience in administrative functions, contract oversight, and providing technical support in project settings will be highly valued. This role may allow for remote work arrangements, but in-person meetings will be necessary.

Key Responsibilities:

  • Technical Support: Serve as the main contact for all project participants, providing essential technical assistance and resources to enhance their contributions.
  • Contract Management: Manage the full lifecycle of contracts, ensuring proper execution and timely payment processing in collaboration with the contract team.
  • Project Communication: Develop, review, and edit communications such as announcements, reports, and newsletters for both internal and external audiences.
  • Collaborative Strategy: Partner with the Project Manager to strategize on project advancements and resolve challenges, contributing to the overall success of the initiative.
  • Project Organization: Maintain project management systems to ensure the timely tracking and delivery of project outputs, working closely with the Project Manager and participants to define needs and plan activities.
  • Reporting: Assist in creating comprehensive plans, summaries, and reports to provide insights into project progress.
  • Additional Duties: Undertake special projects and responsibilities as assigned, demonstrating adaptability and commitment to the project's evolving needs.

Minimum Qualifications:

  • Bachelor's degree or equivalent experience in an administrative support capacity.
  • Experience managing contracts from initiation to payment.
  • Proficiency in instructional technology tools such as Canvas, Google Suite, and Microsoft Office.
  • Experience in higher education is preferred but not mandatory.
